Almost everyone who joins Ernest is a business owner.  Often,  one of the reasons they want use our virtual office/mailbox solutions is because they need a business address to list on their Google My Business page.

If someone leases a Warehouse Station from us,  and this is their physical workplace,  that’s no problem.  If on the other hand,  they are a co-working/office/virtual office member – not so fast…

Google has strict policies regarding virtual offices and coworking spaces. To use a coworking address compliantly on a Google Business Profile, the location must meet specific criteria:

  • Dedicated Office Space: A shared hot-desk arrangement, virtual office plan, or mail-drop service does not qualify. You must rent a dedicated, private office space.

  • Staffed Hours: The space must be staffed by your own employees during the business hours listed on your profile to receive customers.

  • Permanent Signage: Your business name must be clearly and permanently displayed on-site (e.g., in the building directory or on the door of your private suite).

Recommended Alternative: Service Area Business (SAB)

If you operate a service-based business where you travel to clients (or work remotely) and your coworking space doesn’t meet the strict criteria above:

  • Use your home address for verification as your administrative base.

  • Set your profile as a Service Area Business (SAB) and hide your physical address from the public map listing.

  • Specify the geographic regions or radius you serve instead.

This approach keeps your profile fully compliant with Google’s guidelines while protecting your home privacy.

But,  some of our member businesses live outside of the area or areas they service and they want to rank well in a ‘XYZ Near Me’ type search.  To rank well in “Near Me” searches (such as “plumber near me” or “co-working space near me”), Google evaluates local listings based on three core pillars: Relevance, Proximity, and Prominence.

Here is how to optimize for each pillar to ensure you stay competitive:

1. Maximize Relevance (Matching the Searcher’s Intent)

Google needs to know exactly what your business offers so it can show your profile for relevant local queries.

  • Primary & Secondary Categories: Select the single most specific primary category for your business on your Google Business Profile (GBP). Add relevant secondary categories to capture related queries.

  • Service/Product Lists & Descriptions: Fill out every available service item with detailed descriptions, clear pricing, and unbranded keywords that potential customers use when searching.

  • Website On-Page Signals: Ensure your website content cross-references your GBP listings. Use targeted local keywords, clear service descriptions, and localized service area pages if you serve multiple regions.

2. Manage Proximity (Location & Geographic Reach)

Proximity is the distance between the searcher’s physical device and your business address or service area.

  • Accurate Base Address: Ensure your verified physical address (or administrative base) is exact.

  • Defined Service Areas (SABs): If you are a Service Area Business, clearly designate the specific cities, neighborhoods, or ZIP codes you serve within your GBP dashboard.

  • Geotagged Content & Local Photos: Upload high-quality photos taken regularly at job sites or your office. Photos with embedded location signals help demonstrate active, local presence.

3. Build Prominence (Trust & Authority Signals)

Prominence measures how well-known, trusted, and active your business appears across the web.

  • Review Velocity & Engagement: Total reviews matter, but review velocity (getting fresh reviews on a consistent basis) and replying actively to all feedback signal to Google that your business is active and reliable.

  • NAP Consistency: Keep your Name, Address, and Phone Number (NAP) identical across your website, Google Business Profile, local directories, and social platforms.

  • Local Backlinks & Citations: High-quality backlinks from local organizations (such as the local Chamber of Commerce, regional news sites, or community sponsors) act as strong authority endorsements.

  • Regular Updates & GBP Posts: Frequently post announcements, offers, and photos directly to your profile to maintain engagement and visibility.
